Reception/Facilities Support Officer

Role 


We are looking for an individual to oversee our front desk, handling occasional calls or meet-and-greet duties, with a primary focus on administrative tasks and facilities support. Join us as an essential member of our nationwide Facilities team by becoming a Front Office/Facilities Support Officer. This is a permanent part-time position, two days a week, based in Sydney.

Responsibilities 

  • Meet and greet staff and visitors to the Clarence St, Head office reception desk
  • Answer all telephone inquiries for customers and students on the main reception line, delivering outstanding customer service
  • Assist with providing visitors with the appropriate security access passes on arrival
  • Provide general office support that includes issuing stationery and arranging couriers
  • Managing the daily distribution of inbound mail
  • Logging the weekly outbound mail with Australia Post every Tuesday afternoon
  • Responsible for maintaining the Facilities at Kaplan 45 Clarence St
  • Monitor the Facilities team ticketing system, Fresh Service, assigning and/or actioning tickets
  • Actioning FS tickets may involve arranging the servicing and repairs of our office equipment with approved contractors
  • Processing all Sydney-based invoices in the Kaplan accounting system, Concur
  • Source the contractor insurance certificates for Sydney-based offices/campuses 

Requirements 

  • 1-2 years of administration and/or facilities experience (essential)
  • Excellent written and verbal communication skills 
  • Competent with Microsoft Office 
  • Customer service focus 
  • Strong administration skills 
  • Organisation and time management skills 
  • Self-motivation and ability to work autonomously
