Reception/Facilities Support Officer

Role 


We are looking for an individual to oversee our front desk, handling occasional calls or meet-and-greet duties, with a primary focus on administrative tasks and facilities support. Join us as an essential member of our nationwide Facilities team by becoming a Front Office/Facilities Support Officer. This is a 10-month max term contract part-time position, three days a week, based in Melbourne.

Responsibilities 

  • Managing the reception area assisting with face-to-face and telephone customer enquiries relating to all education related matters
  • Delivering outstanding customer service and support to students, staff, contractors and visitors
  • Providing general office support including issuing cab charges, stationery, arranging couriers and coordinating catering
  • Assist with creating new staff access passes and providing visitors and contractors the appropriate security access on arrival
  • Monitor kitchen stock levels of consumables and process weekly orders
  • Provide general ad-hoc administration support to staff including filing, updating spreadsheets etc
  • Assist with coordinating, organising and promoting social events as and when required
  • Work closely with the Melbourne Facilities Manager and other stakeholders to coordinate the repair and maintenance of campus facilities
  • Monitor the Facilities team ticketing system, Fresh Service, to triage, assign and/or actioning tickets locally and nationally
  • Arranging maintenance and repairs with approved contractors

Requirements 

  • 1-2 years of administration and/or facilities experience (essential)
  • Excellent written and verbal communication skills 
  • Competent with Microsoft Office 
  • Customer service focus 
  • Strong administration skills 
  • Organisation and time management skills 
  • Self-motivation and ability to work autonomously
