Student Records Officer

Role

We are seeking a detail-oriented Student Records Officer to maintain accurate campus databases and facilitate communication with stakeholders. This role involves managing student data, monitoring visa and passport deadlines, maintaining filing systems, ensuring completeness of academic records, conducting audits, and other tasks as needed. 

Responsibilities

  • Maintain and process data in the Student Management System, including data collected from students at orientation and throughout their course
  • Ensure student records are accurate and up to date
  • Track expiry dates of visa and passport and follow up where necessary
  • Enroll students into subjects each trimester
  • Liaise with the Finance department to ensure receipts to student invoices are correctly allocated
  • Update student details in PRISMS, such as change of address details
  • Ongoing liaison with Student Experience, Admissions & Finance
  • Respond to student queries in a clear, timely and professional manner
  • Produce relevant student documentation as required, such as interim transcripts
  • Assist with student reports and information as directed by the Campus Manager and/or Registrar
  • Compliance with all company policies and procedures, including WHS legislation requirements
  • Ensure as far as is practicable that the workplace, under your control, is safe and without risks to health

 Requirements

  • Minimum of 2 years experience in customer service/administration or office support roles within higher education institutions working with international students (essential)
  • Experience working with student management systems and databases (essential)
  • Financial background experience, interpreting financial data and making adjustments when necessary (highly desirable)
  • Ability to plan, control, coordinate and manage activities with minimal supervision
  • Ability to facilitate and maintain key relationships with internal and external sources
  • Proven experience in data entry with excellent attention to detail
  • Ability to work in high-volume environment
  • Excellent verbal and written communication
  • A motivated self-starter
