Role
The Student Records Officer plays a vital role in ensuring the smooth and accurate management of student data across the campus. This position is responsible for maintaining our campus databases, ensuring all financial and administrative information is recorded with precision, and working closely with key stakeholders to keep records up to date. As a central support role within the student lifecycle, the Student Records Officer helps maintain the integrity of our systems and contributes to a seamless experience for students and staff alike.
Responsibilities
- Maintain and process accurate student data in the Student Management System, including information collected at orientation and throughout enrolment.
- Ensure all student records, academic files, and documentation are complete, accurate, and up to date.
- Track visa and passport expiry dates and follow up with students where required.
- Enrol students each trimester and process subject changes, refunds, credits, and financial adjustments.
- Generate invoices and liaise with the Finance team to ensure payments are correctly allocated.
- Update student information in PRISMS and ensure FEE-HELP data is recorded and reported correctly.
- Respond to student enquiries in a timely, professional manner and produce required student documentation, such as interim transcripts.
- Undertake regular data audits and error reporting to ensure system accuracy and data integrity.
Requirements
- Minimum of two years’ experience in customer service, administration, or office support roles.
- Proven experience in data entry with exceptional attention to detail and accuracy.
- Experience working with student management systems or databases.
- Strong ability to manage workloads, prioritise tasks, and operate effectively with minimal supervision.
- Excellent written and verbal communication skills.
- Ability to build and maintain effective relationships with internal and external stakeholders.
- Comfortable working in a high-volume, fast-paced environment.
- A motivated self-starter with a proactive approach to problem-solving and workflow management.
